PATIENT COORDINATOR/RECEPTIONIST
We’re in need of an exceptional patient coordinator/receptionist to join our super Front of House team.
Summary of role:
Delivering exceptional customer service to our patients at all times. Guiding the patient journey, ensuring that each step, from the moment of their first contact with the clinic (a treatment or booking enquiry) through to arrival, check-out and follow-up generates a positive feeling.
Making, rescheduling, confirming and cancelling appointments through multiple channels including phone, text, email, web submission and social media with the ability to manage the appointment diary and ensure the smooth running of all appointments
Managing phone, text message, email, web submissions and social media inquiries throughout the day
Contacting patients to discuss the treatments we offer, handle enquiries via phone, email and face to face in a professional manner
Have and maintain a good working knowledge of all our services including processes, packages and prices
Be able to cover reception duties when required, including meeting and greeting patients, ensuring compliance to policies and protocol adherence, ensuring the reception area is kept tidy and presentable, responsible for documenting accurate and timely patient appointment notes
Responsible for looking ahead at schedule, anticipating requirements and scheduling of treatments
Working closely with the Clinic Manager and Directors to provide a smooth, treatment coordinated, patient journey
Performing other duties as required.
Essential skills:
A background in Medical Aesthetics is not necessarily required. We will consider those with experience in cosmetic dentistry/beauty/hospitality/sales/admin/customer-focused industries and other areas where strong transferable skills can be demonstrated.
Friendly and professional personality with strong communication and organisational skills
Competent level of IT proficiency
Be able to work flexible hours including some weekends and evenings

Schedule:
Job type: full time, four days a week
The working week will typically be around 37 hours per week, including one 8pm evening per week and working alternate Saturdays or Sundays.
